SHOWING PREPARATION
Standard Operating Procedure (SOP) - A step-by-step guide to preparing for showings with your clients.
1. Early Preparation (Wednesday/Thursday)
- Wednesdays: Identify clients who may want to view homes over the weekend.
- Handpick 3 Homes: Out of the available listings, select 3 that meet their criteria.
- Send Email & Video: Craft an email with a personalized video explaining why you like these homes and ask if they’d like to see them.
- Text Notification: Send a text letting them know you sent an email.
2. Scheduling Follow-Up (Thursday/Friday)
- Call to Confirm Showings: Reach out to clients who haven't responded to your email and video.
- If you sent homes on Wednesday, call on Thursday.
- If you sent homes on Thursday, call on Friday.
- Book Weekend Showings: Aim to confirm showings ahead of time to secure favorable time slots.
3. Map Routing & Scheduling
- Google Maps Planning: Add all addresses to Google Maps and organize them in the most efficient route.
- Contact Listing Agents:
- Schedule showings in the order of your planned route (adjust if needed).
- Ask client-specific questions and general inquiries (e.g., offer review dates, seller motivation, HOA info, commission structure).
- Take detailed notes for each home.
- Build Rapport: Avoid multiple follow-ups; ask all questions in one conversation.
4. Client Confirmation
- Text Confirmation: Send a confirmation text outlining the starting location and time.
- Email Schedule:
- Send a detailed schedule of showings (e.g., "1:30 PM - 123 Homes St.")
- Include links to each listing and attach MLS sheets.
- Share the Google Maps route link for navigation.
5. Showing Documents Preparation
- Email Documents:
- List the showing schedule, links to the listings, and attach MLS sheets with detailed property info.
- Provide the Google Maps link for navigation.
- In Person:
- Bring printed MLS sheets and an iPad with digital copies.
- For first-time client meetings, bring your resume and team-branded buyer packet.
6. During Showings
- Have Notes & MLS Sheets Ready: Keep notes from conversations with listing agents accessible on paper or digitally.
- Client Rating System (1-7):
- 7: Dream home, writing an offer immediately.
- 6: Perfect home, writing an offer at home.
- 5: Great home, seriously considering an offer.
- 4: Meets criteria but not the right fit.
- 3: Missing some key features, could make it work but not ideal.
- 2: Missing too many features, wouldn't work.
- 1: Not suitable at all.
- Take Notes: Document client feedback for post-showing follow-up.
7. Post-Showings Follow-Up
- Review Client Feedback: Go over the 1-7 ratings.
- Offer Process: If writing an offer, gather more information from the listing agent about competitive offers and how to present a winning bid.
- Email Summary: Follow up via email, including ratings and any next steps.
8. Weekly Process
- Consistency: Repeat this process every week. As you get more comfortable, the process will become second nature and significantly reduce stress while improving client experience.
Planning Showings with Google Maps
(Desktop): Adding Multiple Addresses to Google Maps
1. Open Google Maps
- Navigate to Google Maps in your web browser.
2. Start by Entering the First Address
- In the search bar, type the first address and press Enter. The map will zoom in on that location.
3. Add More Destinations
- Click on the Directions button.
- The first address you searched will appear as the starting point (A).
- To add more addresses, click + Add destination below the first destination field.
- Continue adding additional addresses.
4. Adjust the Route
- Drag and reorder the addresses to create the most efficient route.
5. Share or Save the Route
- Click on the Share button to send the route via link or embed.
- You can also print the directions by clicking the printer icon.
(Android): Adding Multiple Addresses to Google Maps
1. Open Google Maps
- Launch the Google Maps app on your Android device.
2. Start by Entering the First Address
- Type the first address in the search bar and tap the result.
3. Tap Directions
- Once the first address is displayed, tap Directions.
4. Add More Destinations
- In the directions screen, tap the three-dot menu in the top right corner.
- Select Add stop to enter additional addresses.
- Continue adding addresses as needed.
5. Adjust the Route
- Drag and reorder the addresses to create the most efficient route.
6. Start Navigation
- Tap the Start button to begin navigation.
(iOS): Adding Multiple Addresses to Google Maps
1. Open Google Maps
